SCHEDULING
Session time and length are agreed upon and can be tracked through the Google Calendar linked to the parent's and student's email accounts.
Please allow 7 days for significant scheduling change requests.
PAYMENT
The parent/guardian is expected to pay in advance, either for the entire semester, or for the upcoming month. Monthly payment plans will be charged for the upcoming month's scheduled sessions. Any additional time rendered will be applied to the following invoice. Checks or credit card payments are accepted.
Payments are due on the 1st day of the month, invoices will be sent one week before the due date. Invoices can also be viewed at any time on the Tutorbird parent portal. If payment is not received by the 10th, a $100 late fee will be incurred.
You are highly encouraged to set up auto-pay in your Tutorbird Parent Portal if making monthly payments. Once auto-pay is selected, you will be sent a monthly invoice and your card on file will be charged for the balance due. Please reach out to Adrianna if you need assistance setting up your Tutorbird Parent Portal or autopay.
If payment is not received by the 15th of the month, services may be suspended.
CANCELLATION POLICY AND MAKE-UP SESSIONS
If you need to cancel or reschedule a session, you have up to 24 hours before the scheduled session to provide fair notice and you can do so by sending a text message to Adrianna at (720)298-4247.
If you cancel a session within 24 hours of the appointment time or fail to show up at the scheduled time of the session, it will be considered a no-show. The first no-show will be charged at your hourly rate, and your student will be granted a make-up session (one per semester provided in good faith). Following late cancel/no-show appointments will be charged at your session rate (make-ups will not be granted beyond the first instance).
If fair notice is provided (>24 hours notice), you will be charged at your hourly rate and your account will receive a make-up credit. You can use this credit to book a make-up session or apply the credit to the next month’s invoice.
You are responsible for getting make-ups scheduled. Unused credits will expire at the end of each semester.
Fees are calculated according to the times stipulated in the schedule and no adjustment shall be made because of the late arrival by the student.
If the student is more than 15 minutes late to the appointment without notice, the session will be considered a no-show.
Once a student accumulates 3 no-shows, late cancellations and/or schedule change requests, the parent and coach will have a mandatory problem-solving call, and a discontinuation of services will be considered.
CANCELLATION OF LESSONS BY COACH
If I need to cancel a session, I will do my best to give 24-hour notice to the student and/or parent/guardian.
If proper notice is given, you will be granted a credit to schedule a make-up session.
If I need to cancel and 24-hour notice cannot be given, the cost of that session be will credited to the following month’s invoice should the student or parent choose not schedule a make-up session during that month.
COMMUNICATIONS/ADDITIONAL TIME
Please note that you will be charged for communication needs, including parent support and scheduling resolutions (via text, email, or phone call), that extend beyond the need for a simple response.
Communication through email is preferred and a parent call may be encouraged depending on the nature of the communication. Please reserve texting for time-sensitive communications.
Additional preparation, including course research and readings, parent meetings/check-ins, and meetings with school personnel will also be charged.
Additional Time will be billed at the session rate.
Additional preparation/parent contact time (greater than 5 minutes a week), will be billed at the session rate.
Families that have Students with 60 minute (or less) session length will also incur a charge for five minutes of communications time. This time will be used to send seession follow up communications. If you don't want to receive session recaps, you can opt out (unless you are an EF client). Please note if you opt out, you won't receive emails about your studnts progress and upcoming assignments and tests.
OBLIGATIONS OF THE COACH
The Coach undertakes to do any possible preparation prior to lessons and to structure lessons in such a way as to optimize time to the benefit of the Student.
The Coach shall keep confidential all information of the Student and shall contact other parties involved in the education of the Student only with permission from the Student to do so.
The Coach shall not assign any of his/her duties or obligations under this coaching contract to a third party without the written permission of the Parent and Student.
The Coach shall at no time be required or obliged to execute homework, assignments, or assessments on behalf of the Student.
The Coach is unable to provide assistance with taking online quizzes or assessment unless such activities have been approved in writing by the instructor of the course or assistant principal of the school (or if the student has a 504 or IEP that dictates that the student is allowed such support on assessments).
Coach is also unable to provide assistance that is outlined dishonest in a teacher or schools syllabus/course description.
OBLIGATIONS OF THE STUDENT & PARENT/GUARDIAN
Students should participate in sessions in a quiet location where they can be seated at a desk and ready to work with minimal distractions.
The Student must have access to a laptop or tablet with a working camera and microphone and Zoom installed to join our sessions.
The Student must bring related course materials to every session.
The Student undertakes to assist the Coach in identifying problem areas in which the Student needs specific clarification.
The Student agrees that assignments, exercises, or homework form an integral part of coaching and undertakes to complete such work timeously.
The Student agrees to follow the Coach’s advice and recommendations.
Student and Parent/Guardian agree to track sessions through Google Calendar (or their Tutorbird account).
NO WARRANTIES
The Coach makes no promises or warranties with regard to the Student's performance as a result of any support provided.
TERMINATION OF SERVICES
Services may be terminated at any time. Either party may terminate the agreement by giving the other 10 business days’ prior written notice.
If proper notice has been given, the student/family will receive a full refund for the remaining sessions in that month/term.
If less than 10 business days’ notice is given, the student/family will receive a 50% refund for the remaining sessions.
